Payment terms
Define how deposits and later payments are invoiced when quotes are approved.
Organisation defaults
The top of the page sets what every template uses unless you change it for one template:
- Deposit invoice — With quote acceptance, or Before a job date (a set number of days before templating or fit)
- Payment reminders — emails before the due date, on the due date, and after the due date
Payment templates
Each template is the payment schedule for a customer type. A closed template shows the customer type, each payment, and a total. The total should be 100%.
Open a template to set:
- Template name and customer type
- Whether it is the default for that customer type
- The payment schedule
Each payment has a payment name, amount (%), invoice trigger, and due after (days until the invoice is due). 0 is the same day as the trigger. 30 is net 30.
Common setups:
- End customer 50/50 — 50% deposit on quote accepted, 50% balance on fit
- Showroom 0/100 — no deposit, 100% balance on fit (often with longer due days)
You can still override terms on a specific customer.
Invoice triggers
- On quote accepted — typically the deposit
- On fit complete — typically the remainder / balance (or 100% for showrooms)
- Days after fit / Manual — custom setups
Invoice timing
Open Invoice timing on a template when that customer type should differ from the organisation default.
Deposit invoice
- With quote acceptance — send as soon as the quote is approved
- Before a job date — hold the deposit until a set number of days before templating or fit (once that date is on the job)
Tick Set different timing for this template only when this template should not use the organisation default.
Balance invoice
- After fitting — send when fitting is marked complete
- Before planned fit — send a set number of days before the planned fit date (once that date is set)
Use Before planned fit when you want the remainder paid before install day. Keep After fitting when you invoice after the install.
Payment reminders
Open Payment reminders on a template only when that customer type needs its own schedule. Otherwise it uses the organisation default.
